Case study: Conference videography in Canary Wharf
Conference filming often involves much more than simply recording presentations. Clients increasingly want a range of content that can be used long after the event has finished, from keynote presentations and speaker interviews to engaging social media clips and behind-the-scenes footage.
For this conference in Canary Wharf, the client wanted to maximise the value of a single filming day by capturing presentation coverage, delegate interviews and a wide variety of B-roll footage throughout the event. With multiple filming priorities and a busy event schedule, careful planning was essential to ensure everything ran smoothly.
Planning the day
Long before the first delegates arrived, every stage of the production had been carefully planned.
The event schedule was reviewed in advance to identify exactly when each type of footage needed to be captured. This allowed me to build a filming plan that balanced presentation coverage with opportunities to capture natural interactions between attendees and conduct interviews later in the day.
Working to a clear schedule meant every part of the event had its own dedicated filming window, helping ensure nothing important was missed.
Capturing the atmosphere
The day began by filming B-roll while delegates arrived.
This included guests registering, networking over coffee, greeting colleagues, informal conversations, a timelapse of people entering the room, people taking their seats and the overall atmosphere as the venue came to life.
These natural moments help tell the story of an event and are invaluable during editing, creating engaging opening sequences and providing visual variety throughout the finished video.
By capturing this footage early, I could then focus entirely on the conference programme as presentations began.
Presentation coverage
The conference featured several presentations throughout the day.
To ensure the keynote speech was captured in full, a dedicated camera setup was used to record the presentation from start to finish. This provided the client with a complete, high-quality recording of the session.
During the remaining presentations, I focused on filming audience reactions as the content on stage didn't need to be captured on video. Filming delegates listening, taking notes, laughing, applauding and engaging with the speakers created a much richer collection of footage that would later add energy and context to the final edits.
This approach made the best use of the available filming time while providing the client with a diverse range of visual content.
Interview setup ready to go
One of the biggest challenges of the day was fitting several interviews into an already busy schedule.
To save valuable time, I set up the interview space first thing in the morning before the conference began.
A separate room was prepared with professional lighting, audio equipment and a three-camera interview setup, allowing contributors to step straight in once the event finished without lengthy equipment changes or delays.
Having the interview location fully prepared meant the transition from conference coverage to interviews was quick and efficient, helping everyone stay on schedule after a long day.
A flexible three-camera production
To deliver every aspect of the brief efficiently, three cameras were used throughout the production.
One setup was dedicated to the interview space, while the remaining equipment was used for presentation coverage and event filming. Careful equipment planning ensured everything was ready exactly when needed, avoiding unnecessary downtime and allowing the production to move seamlessly between different parts of the event.
Conference videography often requires adapting quickly as schedules change, and having a clear production plan in place made it possible to capture every requested element without compromising quality.
Delivering maximum value
Although it was a long production day with only a brief opportunity for a break, the careful preparation and structured workflow ensured every objective was achieved.
By combining presentation filming, audience reactions, networking footage and professionally lit interviews, the client received a comprehensive library of content that could be used across multiple platforms long after the event had finished.
The result
This Canary Wharf conference demonstrated how effective planning can transform a single filming day into a wide range of valuable marketing assets.
Rather than simply documenting the event, the production delivered presentation recordings, engaging promotional footage, authentic audience reactions and professional interviews—all captured within a carefully planned schedule.
Whether filming conferences, corporate events or business seminars, thoughtful preparation, technical expertise and an organised workflow allow every production day to deliver the greatest possible value for clients.
